Annual Day and Dealer Meet Venues in North Bangalore: Sizing Hall, Lawn and Car Park
A 1,500-person annual day is a logistics problem before it is a venue problem. The per-head area, parking ratio and catering throughput to check before you shortlist anywhere.

Company annual days and dealer meets fail in the same three places: the hall is smaller than the headcount suggests, the car park cannot absorb a single arrival window, and the catering line moves slower than the agenda.
None of that is bad luck. All of it is arithmetic you can run before a site visit.
Start with the format, not the headcount
"We're expecting 1,200 people" tells a venue almost nothing, because the space required changes by a factor of two depending on what those people are doing.

Most annual days are a sequence, not a single format. A theatre-style awards session, then a standing cocktail hour, then a seated dinner. If the dinner is seated and the headcount is the same, you need roughly double the space you needed for the awards. Venues quote the number that flatters the room, which is almost always the theatre or float figure.
Add on top of the dining or seating area: a stage of 400 to 800 sq ft for an annual day with performances, buffet stations at roughly one per 100 guests, and 20 to 25% circulation so servers and guests are not competing for the same lane.
The car park decides your start time
Corporate arrivals cluster harder than wedding arrivals. People leave the office together, travel together, and arrive inside a 30 to 40 minute window.
The working figures: 2 to 3 people per car for a corporate event, closer to 4 if the company runs shuttles. So 1,200 attendees is roughly 400 to 600 cars, and each needs 300 to 350 sq ft including aisles. That is between 2.7 and 4.8 acres of parking if everybody drives.
Shuttles change the maths completely. Twelve 40-seater coaches move 480 people and occupy the space of about 25 cars. For any event above roughly 500 attendees at a single-site company, shuttles are usually cheaper than the parking they save, and they remove the arrival spike entirely.
Catering throughput, not catering quality
Every venue will show you a menu. Very few will tell you how long it takes to feed the room.
A buffet station serves roughly 80 to 100 people per hour comfortably. For 1,200 guests inside a 45-minute dinner window you need twelve to fifteen stations, distributed around the perimeter rather than banked along one wall. Bank them and you have built one queue with several openings.
Plated service is faster per guest but needs staff: roughly one server per 15 to 20 covers for a corporate dinner. For 1,200 that is sixty to eighty service staff on the floor. Ask whether that headcount is in-house or brought in for the night, because the difference shows.
AV is a room property, not a vendor property
Corporate events are more AV-dependent than social ones. An awards night has a run of show, a dealer meet has presentations, a town hall has a CEO who needs to be audible at the back.
Check the ceiling height before anything else, since projection and rigging live or die on it. Check whether the room is column-free, because columns break sightlines to a stage in a way no screen placement fixes. Establish the power available to your AV vendor as a number, and whether generator backup covers the full load including air conditioning rather than just lights. And ask what the room sounds like empty, because a hard-surfaced hall with a high ceiling will need more acoustic treatment than the budget assumes.
The questions to take to a site visit

- Is the main hall column-free, and what is the clear ceiling height?
- How many cars fit on site, and how many clear the gate per hour?
- How many buffet stations can run at once, and where do they sit?
- What is the service ratio for a plated dinner at our headcount?
- Does generator backup cover the full load including air conditioning?
- Can an outdoor session move indoors at short notice, at full headcount?
- How many entry points are there for registration and badging?
How Le Roma Gardenia is laid out
Le Roma Gardenia sits on 6 acres at Itagalpura in North Bengaluru, around 20 minutes from Kempegowda International Airport, with the combination large corporate formats need.
The AC banquet hall runs 9,000 sq ft and is column-free, taking up to 1,200 on a float basis.
